How ChatGPT Helps Me Stop Overthinking And Work Like I Have An Executive Assistant

How ChatGPT Helps Me Stop Overthinking And Work Like I Have An Executive Assistant lucy paulise

As a coach, business owner, and writer, I used to spend an incredible amount of time trapped in my own thoughts. Not because I didn’t know what to say or do, but because I wanted everything to be perfect. Emails, proposals, pricing decisions, and even social posts became mental spirals. I would rewrite the same sentence ten times. Reread a proposal twenty times. Question every word in a sensitive message. But now, ChatGPT helps me stop overthinking.

ChatGPT has changed how I work by reducing the mental noise that used to slow me down. It acts like the executive assistant I always wished I had—one who helps me think more clearly, stay grounded, and move forward without getting stuck in analysis mode. And while I still challenge it, double-check facts, and never accept anything blindly, I trust the process enough to let it save me an incredible amount of time.

Here are the five main ways it transformed how I work.

1. It Stops My Email Overthinking Spiral

Email management used to be one of my big stressors. I would pause before sending, reread everything, worry about tone, and try to strike a perfect balance between clarity, kindness, and professionalism. It could take me hours! Throughout different days. ChatGPT now helps me regulate the emotional part of communication. I can drop a rough draft or even a messy paragraph and ask for a clearer, warmer version that still sounds like me. It helps me remove unnecessary explanations, soften strong edges, or firm up softer ones, always with my intention in mind. As a Latin, I tend to overexplain. Now, instead of spiralling into perfectionism, I get clarity quickly and send the message with confidence and more efficiently.

2. It Turns Proposals Into A Finished Product

Proposals used to take me hours, not because the content was difficult, sometimes it’s just tweaking old proposals. But because I overthought the structure, the length, the wording, and everything in between, it could go on forever. Now my process is simple: I share the core ideas, and ChatGPT organizes them into a professional, well-structured draft. I can refine, adjust, and personalize the details without getting stuck in perfectionist loops. What once felt heavy and mentally draining now feels like teamwork. The clarity ChatGPT provides frees up my mental energy to focus on the strategic parts of my work.

Pricing is one of the hardest areas for entrepreneurs because it’s tied to worth, fear, and uncertainty. When I’m unsure about a pricing tier or package, ChatGPT helps me think through the reasoning instead of getting lost in my feelings. I can ask for the pros and cons of each option or how different price points might be perceived by clients, and it offers neutral, logical analysis that helps me step back from emotional decision-making.

I also rely on ChatGPT to weigh different product ideas, refine my service packages, and evaluate how each offering fits into my long-term business strategy. It helps me quickly define what to highlight and how.

3. It Turns Ideas Into Structured Content

I’m constantly generating ideas from coaching sessions and daily life, but organizing those ideas into articles, Podcast scripts, or posts used to be overwhelming. ChatGPT helps me turn raw notes into clear outlines, strong openings, and well-structured narratives, helping me overcome writer’s block. It doesn’t remove my creativity; it enhances it by giving shape to what I already want to say. I stay in the flow instead of getting stuck at the starting line. It’s still my voice, my story, and my expertise, now delivered with more clarity and speed.

And if you are struggling to read books or get through research material, another AI tool that can help is NotebookLM. I use it to summarize books, pull out key insights, or even turn my notes into a podcast-style audio summary so I can review the content while driving or getting ready in the morning. It gives me faster access to the ideas I want to absorb and frees up time for deeper thinking.

4. It Acts Like An Executive Assistant

The biggest misconception is that AI makes people stop thinking. In my case, it’s the opposite. ChatGPT doesn’t replace my thoughts, it helps me think better, automate what is easier and allows me to focus on what is my strength. Still, I always question the responses, verify them, ask for alternatives, and check what feels aligned with my intuition. It doesn’t decide for me; it helps me access my best thinking faster. And because it never gets tired, overwhelmed, or judgmental, it provides the mental space I need to focus on my clients, my writing, my creativity, and my wellbeing.

I also use other AI tools integrated into the apps I rely on every day. For example, Sunsama recently added automatic timeboxing, which takes my task list and maps it to my calendar based on my workload, priorities, and energy levels. Instead of manually trying to predict how long tasks will take—or overthinking how to structure my day—I get a realistic plan within seconds. These small AI enhancements, layered into the tools I already use, make my entire workflow smoother and more intentional.

5. AI Helps Me Improving My Performance, Health and Wellbeing

What surprised me most was that the benefits of AI didn’t stop at my business. Over the past few months, I’ve started using AI tools in my personal life, especially for health optimization, stress management, and daily routines. AI-powered health tools help me monitor my sleep, exercise patterns, and recovery with more accuracy and less guesswork.

Recently, I started testing the new AI-powered Fitbit Personal Health Coach integrated with my Google Pixel Watch, and it has been eye-opening. It analyzes my sleep trends, guides my workouts, and offers personalized recommendations to improve my energy, recovery, and overall performance. It feels like having a gentle, insightful health coach in my pocket—not to replace my judgment, but to reveal patterns that can improve my productivity.

Just this week, as I prepared for a tennis tournament, I shared my upcoming match schedule with the AI coach. It recommended how to prepare based on my recent sleep patterns, what to eat, when to go to bed, and how to adjust my workouts to perform at my best. When I returned and shared the results, it provided encouragement, reflections, and suggestions for what to focus on next. It was surprisingly supportive and personalized.

This experience has shown me that AI is no longer just a productivity tool; it’s becoming a wellbeing tool too. And as someone who juggles coaching, writing, parenting, and competitive tennis, the ability to use AI to support both my work and my health has been transformative.

I’ll be diving deeper into this in my next article, where I’ll share what I’ve learned from using the Fitbit Personal Health Coach and how AI may reshape the future of personal wellbeing.

Less Mental Clutter, More Mental Clarity

ChatGPT didn’t make me less intelligent or less thoughtful, ChatGPT helps me stop overthinking. It made me less overwhelmed. It replaced my overthinking, not my thinking. It gave me back hours of mental energy every week. It’s not doing the work for me. It’s helping me shine in the work I’m meant to do. I hope you can use your AI tools too to focus on what matters to you.
